Follow-up setup

Make sure someone answers each inquiry

Alerts, task rules and simple follow-up sequences set up in your CRM, with consent handled the way your own counsel advises.

What gets measured, and what does not

A tracking setup measures events you define. Form submissions, thank-you page views, button clicks on a phone number, and sales stages in your CRM are all common choices. Each is recorded in GA4, the ad platforms, the CRM, or several of these at once.

Some things stay out of reach. Ad blockers and privacy settings stop some tags from firing. People who see an ad on a phone and later visit on a laptop may show up as two visitors. Platform numbers rarely match each other exactly, because each counts by its own rules.

Good tracking accepts these gaps and is honest about them. The aim is a consistent record you can compare from month to month. A perfect count of every person is out of reach for anyone.

Routing form leads into your CRM

Every form submission should become a record in your CRM, with the right owner and its source attached, without anyone copying and pasting.

Routing setup usually covers:

  • Connecting each form to HubSpot, Salesforce, Pipedrive or your CRM of choice, directly or through a connector
  • Mapping each form field to the matching CRM property
  • Saving UTM values and click identifiers from hidden fields
  • Checking for existing contacts so duplicates are not created
  • Assigning an owner by service, region or a simple rotation
  • Setting a starting pipeline stage

Test submissions confirm each route works. A record of the mapping goes into the handover notes, so anyone can follow it later.

Access to grant, and how

Tracking work touches several accounts, so plan access carefully.

Add the provider as a user in each tool, using their own login. Google Tag Manager, GA4, Google Ads, Microsoft Advertising, Meta Business Manager, LinkedIn Campaign Manager and the major CRMs all support this. Give each user the level the work needs: publish rights in Tag Manager, editor rights in GA4, and integration or admin rights in the CRM if connectors must be set up.

Avoid sharing your own password, even temporarily. Added users can be removed when work ends, and every change they make is logged under their name. Keep a short list of who has access to what. CISA publishes general guidance on account security that applies here too.

Questions about lead tracking and follow-up

What is an offline conversion import?

It sends outcomes recorded in your CRM, such as a booked meeting or a won deal, back to an ad platform and matches them to the original click. The platform then knows which ads led to sales conversations, not only form fills. How it uses that information is up to the platform.

What are UTM parameters?

They are labels added to a link that name the source, medium and campaign. GA4 reads them to report where visitors came from, and hidden form fields can save them with each lead in your CRM. A shared naming sheet keeps them consistent across campaigns.

Will tracking setup change how many leads I get?

No. Tracking records what happens; it does not change what visitors do. It can show which campaigns produce sales conversations, and sending CRM stages back gives ad platforms better information. What the platforms and your buyers do with that is outside anyone's control.
